Swiss Invoicing

Automatic bank reconciliation from your bank statement

Marking invoices as paid by hand doesn't scale. Megorix reads the bank statement and does the work itself.

  • Imports camt.053 (account statement) and camt.054 (debit or credit notification) files downloaded from e-banking.
  • Matches each payment to the right invoice by its QRR or SCOR reference, including partial payments.
  • Nothing is marked as paid without your confirmation: matched payments wait for you to review them.

camt.053 or camt.054: which file to download from e-banking

Swiss banks deliver account movements as ISO 20022 XML messages. camt.053 is the account statement: every movement booked over a day or a period. camt.054 is the debit or credit notification, which many banks use to break down each QR payment when they credit them to the account in a single booking.

Megorix reads both. In a movement that groups several payments, each one is read separately, with its own amount and reference. Only booked credits count; debits and pending movements are ignored.

PDF statements and the intraday camt.052 report cannot be used for this import.

How Megorix matches each incoming payment to the right invoice

The import does the line-by-line comparison, but the final decision stays with whoever looks after the accounts.

  1. 1

Download the camt.053 or camt.054 file (XML) from e-banking and upload it in “Import bank statement”.

  2. 2

Megorix reads the account IBAN and, for each credit, the date, amount, currency, structured reference (QRR or SCOR) and the payer's name.

  3. 3

Using the reference, it finds the issued invoice and works out the open balance: the total, minus payments already recorded, minus credit notes.

  4. 4

Each movement gets a status — matched, partial payment, amount above balance, already imported, invoice cancelled, no invoice or no reference. Matched and partial ones come preselected.

  5. 5

Once the import is confirmed, the payment is recorded on the invoice and, when the balance reaches zero, the invoice becomes paid. A recorded payment cannot be edited or deleted.

Why some payments don't match an invoice on their own

When a movement doesn't match, Megorix says why instead of applying it at random.

  1. 1

The customer paid by ordinary transfer and typed the invoice number by hand: with no structured reference, the payment is recorded directly on the invoice.

  2. 2

The same file was imported twice: a payment with the same reference, date and amount is recognised as already imported.

  3. 3

The customer paid more than the balance: the movement is flagged and not applied without your decision.

  4. 4

The invoice had already been cancelled by a credit note: the movement is flagged so the money can be returned, not counted as a payment.

  5. 5

The reference matches no issued invoice — a draft, for example, or another company's invoice.

Bank reconciliation for businesses receiving many QR payments a month

This is where the most time is saved: associations and clubs collecting dues, schools and training providers collecting fees, appointment-based services with many small invoices. A statement with dozens of credits is handled in a single confirmation, and each customer's balance stays right without spreadsheets.

For that, invoices need to go out with a reference: QRR on a QR-IBAN account or SCOR on a regular-IBAN account.

Common questions about bank reconciliation in Switzerland

Megorix reads camt.053/054 bank statement files and automatically matches payments to open invoices by their QRR or SCOR reference.

Yes, Megorix compares the bank statement against issued invoices and suggests the matching payment automatically.

Every invoice's outstanding balance in Megorix already accounts for payments and credit notes, always showing the real amount still due.

camt.053 is the account statement, with every booked movement; camt.054 is the debit or credit notification, often used to detail QR payments the bank credited in one go. Megorix imports both.

No. The camt file is downloaded from e-banking and uploaded to Megorix, so the software never needs access to the bank account.

It shows up in the import as “no structured reference” and is not applied automatically. It is recorded by hand on the right invoice, with the date and amount from the statement.

You won't get duplicate payments: a movement with the same reference, date and amount as a recorded payment shows as “already imported” and cannot be selected.
