Swiss invoicing with QR-bill, without the headache
QR-bill, GeBüV and VAT — handled automatically, from day one.
Swiss invoicing has rules generic software ignores
A malformed QR-bill is an invoice the bank rejects.
No audit chain means a tax inspection is a real risk.
Reconciling payments by hand eats hours every week.
Swiss invoicing software: QR-bill, GeBüV and VAT
What a Swiss invoice must contain under the VAT Act
In Switzerland, a VAT-registered business (MWST, TVA or IVA, depending on the language) only issues a complete invoice when it carries the elements listed in Article 26 of the VAT Act. They are what your customer relies on to justify deducting the tax you charged.
In Megorix, this data comes from the company profile and the customer record, and it is fixed on the document at the moment of issue. If anything is missing, the invoice does not go out.
- Name and location of the business invoicing, with its UID number in the format CHE-123.456.789 MWST (or TVA, or IVA) — Megorix checks the check digit before issuing.
- Name and location of the customer, as they stood on the day of issue.
- Invoice date and, when it differs, the date or period of the supply.
- Type, subject and quantity of what was sold or provided.
- The amount, the VAT rate and the tax due, shown per rate when the invoice mixes 8.1%, 2.6% and 3.8%.
How invoicing in Switzerland works in Megorix, from draft to payment
The path is the same for an 80-franc invoice or an 80,000-franc one: a draft you can change freely, an issue step that closes the document, and a payment the bank sends back with the right reference.
- 1
You create the draft with the customer, the lines, the document language and the bank account; on saving, the QR reference is computed and checked.
- 2
When you press “Issue”, Megorix confirms that the totals match the lines, that the company profile is complete and that the date is today — and only then locks the document, as GeBüV requires.
- 3
The invoice goes out as a PDF with the QR payment part, in the customer's language: German, French, Italian, English or Portuguese.
- 4
The customer pays in their banking app; the camt.053 or camt.054 file from e-banking goes into Megorix and each payment is matched by its reference.
- 5
If something needs correcting, you issue a credit note; at the end of the period, the VAT summary adds up the base and the tax per code, in francs.
Which businesses this Swiss and Liechtenstein invoicing software is for
The module is built for SMEs based in Switzerland or Liechtenstein that invoice in francs — and in euros when needed — whether or not they are registered for VAT. A business below the registration threshold invoices without tax and with its exemption note; a registered one prints its UID number on every document.
It suits businesses working across more than one language region, businesses receiving many QR payments a month, and anyone who wants to hand their fiduciary a VAT summary already in CHF. Portuguese-speaking entrepreneurs settled in Switzerland can run the software in Portuguese and invoice in each customer's language.
- Hotels and restaurants: accommodation at 3.8% and meals at 8.1% on the same invoice.
- Construction and garages: one invoice per job or repair, with partial payments recorded until the balance reaches zero.
- Retail: food at 2.6% and everything else at 8.1%, with VAT shown per rate.
- Associations and training providers: many small dues and fees, matched on their own from the bank statement.
Common questions about invoicing in Switzerland
Megorix brings all three into one module: it produces the QR payment part with the right reference for each account, locks every document once it is issued, and groups VAT by code and period, in francs.
Yes. In Megorix the invoice body comes out in Portuguese when that is the chosen language. Only the QR payment part uses another language — English, in that case — because the Swiss standard only allows German, French, Italian and English on that slip.
As a rule, from CHF 100,000 of annual turnover from taxable supplies, counting those made in Switzerland and abroad. Below that, the business invoices without VAT — and Megorix requires the exemption note and refuses lines that carry tax.
Not entirely. The module handles invoicing, payments and the VAT summary; the balance sheet and income statement stay in the accounts kept by the business or its fiduciary. Each line already carries its revenue account and VAT code, which makes that hand-over simpler.
Yes. A euro invoice uses a euro account with a regular IBAN and a SCOR reference, or none, because the QRR reference only exists in francs. On issue, Megorix records the official monthly average rate so the VAT goes into the return in CHF.
You don't edit it: you issue a credit note linked to the original invoice — for the full amount or just the wrong part — and a new invoice if needed. Both documents are kept, and the original stays exactly as issued.
